IT Works provides a grant management system for higher education and research institutions. For over twenty years, our grant management system has evolved based on input from college presidents, university department administrators, and scientists from independent research institutes. The IT Works grant management system, designed for both pre-award and post-award grant administrators, monitors pending proposals and active grants. It includes essential tracking reports that are available in a variety of formats and are designed to meet the needs of a wide range of users.
IT Works provides a pre-award grant management system for the macro-level management of pending grants and research projects. Our grant management system tracks information such as: budget period, project period, agency deadline, and submission dates. The grant management system also tracks total direct cost, total indirect cost (F&A), cost sharing, and information regarding principal investigators, co-investigators, investigator effort, proposal type (new, continuation, competitive renewal, supplement, no cost extension, etc), award type (Research Grants (R series), Career Development Awards (K series), Research Training and Fellowships (T & F series),Program Project/Center Grants (P series)), funding agency, agency number and more.
In addition, our grant management system includes compliance monitoring (IRB, IACUC, Safety Boards, Export Control, and more), proposal development, and time and effort reporting software. Within our grant management system, there are tools for proposal development include software for generating current and pending support (or other support) pages. Our grant management system also generates reports that can be used as part an NCI Cancer Center P30 application.
IT Works provides a post-award grant management system for grant tracking and day-to-day project management. Our grant management system incorporates a modular design comprised of grant tracking, accounting, personnel, space and recharge center management software modules. The grant management system includes the same features as our pre-award research management software such as compliance monitoring, time and effort reporting, but applied to active grants and research projects. In addition, our post-award grant management system stores pre-award documents (such as routing reports, budget preparation sheets, etc) and reports submitted to funding agencies (such as financial reports, progress reports, etc). Our grant management system also maintains schedules for tracking report due dates and compliance expiration dates. Reporting functions in our grants management system include features that track when financial and project reports are due; when projects are ending, and when reports need to be delivered to funding agencies. Reports generated by our grants management system include notice of annual reports, award reports, list reports, grant table reports, and grant versus space utilization reports.
Our grant management system also provides for day to day project management. Our accounting module within our grant management system includes grant accounting components that also include accounting functions for the management of hard money, clinical income, endowments, gift funds, university funds, state funds, and others. Our grant management system is designed to supplement your general ledger or ERP system. The grant management system can be installed with an electronic interface to produce an integrated component or as an independently operated shadow system. When implemented as an electronically integrated module with your general ledger, our grants management system provides data warehouse capability and puts advanced reporting functionality at your finger tips. Both our shadow accounting system and electronically integrated solutions within our grant management system provide supplemental information such as soft encumbrances, projections of employee salary information, and cost accounting information. Our grant management system has a cost accounting capability which is often used for tracking special commitments such as faculty start-up funds and internally sponsored research. Our grants management system is compatible with industry standard general ledger systems. The grant management system is designed for compatibility with college and university fund accounting systems, as well as accounting systems used by independent research institutes and research hospitals. All reports, display screens, and functionality within our grant management system has been developed over the last 20 years at the request of central and department level accountants, administrators, and faculty from over 200 installations in the U.S. and Canada.
IT Works provides a comprehensive grant management system for research management. Our grant management system is part of a software suite that includes modules for managing grants, assets (capital equipment), space and recharge centers (internal research facilities that bill for their services). The grant management system includes a module which tracks both pre- and post-award information such as total direct and indirect budgets, funding agencies, budget and project periods, investigator effort, compliance information, and more. The asset management module of our grant management system tracks equipment ownership, location, and other purchasing information. The space module of our grant management system tracks space ownership and usage information. Our grant management module in our grant management system links to our space module to generate reports that compare ratios of grant dollars per square foot of research space for individual scientists or research faculty.
Our grants management system suite includes a facility services or recharge center management module designed for managing multiple recharge centers. Examples of recharge centers include DNA Sequencing, Flow Cytometry, NMR Scanners, Confocal Microscopes, Tissue Procurement, Animal Histopathology, and more. Grant management system functions include billing and invoice generation, invoice aging reports, facility usage reports, and more. The facility module in our grant management system integrates with our accounting module as part of its grant accounting functionality.
IT Works has three grant management systems designed to meet the grant accounting software needs of organizations depending upon their size and complexity:
- Department Manager is a grant management system for large and mid-size departments, divisions, centers, and schools at college and universities as well as research hospitals and research institutes.
- College Administrator is a grant management system for large college as well as small and mid-size universities.
- Department Accountant is a grant management system for research labs and small departments.
Department Manager and College Administrator provide online grant management systems for both macro-level grant management and detailed grant accounting needs. Both of these modular grant management systems feature multi-tiered security systems that include: Grants Management Software, Grant and University Fund Accounting, Personnel Management, Space and Asset Management, and Recharge Center Management Modules. Both of these grant management system products are available in professional and enterprise versions.
Department Accountant is a grant management system primarily focusing on the detailed management of individual research projects as needed for grant accounting tasks in small university departments.
